Do you love the idea of juggling multiple projects in a fast-paced creative agency and making sure no one drops the ball? We’re looking for an eagle-eyed project manager to act as a bridge across our whole workflow, from sales to delivery to analysis of activity.

With the influx of exciting projects coming in and our plans for growth, it’s critical that we make sure everything continues to run smoothly and nothing slips through the cracks.

It’s a brand new position, giving you the chance to make your mark and have a direct impact on the growth of Sookio. It’ll be about 70% behind the scenes and the rest client facing, and you’ll be working alongside a team of brilliant creatives who truly care about our clients and delivering outstanding work.

The projects

Working with Sales to make sure the scope of work is crystal clear and that we have everything the team needs to be fully briefed. Reporting back at the end of the project to help us become ever more accurate on future quotes

Working with our Administrator to get projects set up in our system correctly and liaise over purchase orders, invoicing and payment

Updating the projects in our workflow tool Avaza, checking in on the status and ensuring everything is in order

The people

Staying on top of resourcing to make sure people aren’t getting overloaded, and that we are managing client expectations over delivery of the work

Regular check-ins on progress so the team is kept informed on timelines, problems are solved and any obstacles are moved out of their way

Booking freelancers and other contractors

Reporting to our Founder on project status, giving her confidence that the work is being delivered to a brilliant standard and that team and clients are happy

Clients

We would love to get the onboarding process nailed, with each client getting a proper introduction to Sookio, the way we work, and expectations on either side.

Administration such as booking kick-off meetings or gathering source information such as brand guidelines and other documents.

General account management and liaison over the status of each project.

You need to be

a confident communicator who enjoys building relationships with clients and will pick up the phone rather than hide behind emails. We need an excellent standard of English too, in written and spoken communication

organised and efficient. Always looking to find ways to finetune our processes to help us become more profitable and productive

able to see the bigger picture; always with an eye on what’s coming next and how the different parts of the agency integrate with each other.

It would be great if you

had experience in an agency or client-side. But this is not essential. You might have transferrable skills that will make you a great fit!

were digitally minded, not fazed by using different tools or software to do the job

had experience of tools we use like Microsoft Office, Xero, Adobe Creative Suite, Capsule CRM and Avaza (don’t worry, no one’s ever heard of this but we like it!)

In the coming months, for example, you’ll be keeping us on track with projects backed by the Culture Recovery Fund, working with our Head of Production to coordinate video projects in software, executive education and the museum sector, and mapping out copywriting projects delivered in-house and using freelancers.

This will have the effect of freeing up Sue’s time, enabling her to focus on building strategic partnerships and growing the business. Or, in the words of our Digital Strategist: “You need to get out of the engine room and keep steering the ship.”

This new role will be critical in making this happen.
